Print Customer Statements

The Print Customer Statements page allows authorized users to print a statement and/or listing for a selected customer or all customers. The customer statement provides a summary of customer invoice activity.

Follow the steps below to print customer statements and/or a listing of customer statements:

  1. Go to Financial Management > Miscellaneous Billing > Period End Processing > Print Customer Statements.
  2. In Print, select what will be printed (e.g., Listing, Statement, or Both). The default is Listing. If you select Statement or Both, the Create Statement History check box is enabled.
  3. In Statement Date, enter or select the date on which the statement is created. The default is the current system date.
  4. Use the Override Previous Statement Date in place of the previous statement date to determine the beginning balance and the transactions that were entered between the Override Date and the current Statement Date. This Override Previous Statement Date is typically used to recreate a new statement. The default is <blank>.
  5. Select the Select Single Customer if you are going to select a single customer. If selected, it displays and enables the Customer field.

    If not selected, the Customer Types tab at the bottom of the page will enable and display every customer type since the last statement date or override previous statement date.

  6. In Customer select the customer for which to print a statement, if the Select Single Customer check box is selected. It is disabled if the Select Single Customer check box is not selected. Click the Search icon next to this field to search for the record you want to display.
  7. If the Include Email Statements check box is selected when customer statements are submitted for printing, statements for customers who are fully enrolled for email notification will be included in the print queue. When this check box is cleared, statements for enrolled customers will NOT be included in the print queue. For more information about email notification, see Email Notification for eMB Customers.
  8. If the Sort by Notification Method check box is selected when statements are submitted for printing, the statements will be sorted by delivery method (i.e., mail and email), with statements to be mailed coming before statements to be emailed. If this check box is cleared, statements will not be sorted by delivery method; statements to be mailed and emailed will be mixed together.
  9. Select the Include Customers with Zero Balances and No Activity check box to include customers whose balance is zero and have no activity between statement dates. A customer statement will be printed for all active customers belonging to the customer type(s) selected regardless of the account balance and activity. This check box is disabled if the Select Single Customer control is selected.
  10. Select the Create Statement History check box to add the statement to the customer’s history file. It is disabled if the Print value selected is Listing. It is enabled if the Print option selected is Statement or Both.
  11. In Comments, either select a previously created standard message or type a message of your own in the text box. You can also edit the text of the standard message you select that populates the text box.
  12. Use the Invoice Types tab to limit printing to a specific invoice type or types. To do this, in the Available Invoice Type(s) box, select the types you would like included. Use the right arrow key to move the selected types to the Selected Invoice Type(s) box.
  13. If the Select Single Customer check box is not selected, you must select at least one customer type in the Customer Types tab that should print. In the Available Customer Type(s) list, select and move the appropriate customer type(s) to the Selected Customer Types box. You can use Ctrl+Click to select or deselect multiple customer types or Shift+Click to select a range of customer types.
  1. Click Submit to print the customer listing and/or statement and send it to myReports.
